Events
Edit, duplicate, cancel, or end an event
Change an event’s details, copy it, cancel it or end it, and know what each action means for your guests.
What you will achieve
Your event shows the right details and the right status.
Before you start
- If a button is missing, your role on this event does not allow that action.
- Before you end an event, wait until no song is still being created.
On the web
- 1
Open the event, choose More event options (⋯), then Settings.
- 2
In Edit event, change what you need and choose Save event. If you change the name shown to guests, the date, the timezone or the place, guests are told by notification and email.
- 3
To close the event, choose End event. Guests can no longer take part and any open vote is closed. Events also end on their own the day after they finish.
- 4
To call it off, choose Cancel event, decide whether to email guests who have no Sonize account, then confirm. You can bring it back later with Restore event.
- 5
To copy it, open More event options (⋯), choose Duplicate, then Create draft copy. Guests, responses, songs, and live activity are not copied, and the copy has no date.
- 6
To reopen an ended event, choose Reopen event. It counts as an active event again.
Expected result
The event’s status shows Preparing, Live, Postponed, Completed, or Cancelled, as expected.
Important
Cancelling closes the event to guests straight away and sends them a notification. Check that you picked the right event before you confirm.
Fix a problem
Problem: End event is refused.
What to doA song is still being created. Wait until it is ready, deal with any song that failed, then try again.
Problem: The copy has no guests and no date.
What to doThat is expected. Duplicate keeps the settings and the questions, not the people or the date. Add a new date in Settings.
Problem: There is no Delete button.
What to doDelete permanently appears only for a cancelled, completed or draft event: choose it in the event’s settings and type the event’s title to confirm. It removes the event, its guests, their answers, the wall and all its songs for good, including songs someone kept, so download anything you want first. A cancelled event you do not delete can be restored, but the usual deletion periods still run from the end or the cancellation: guests’ contact details are deleted after 90 days, their answers after 12 months and the event’s songs after 24 months, unless someone keeps a song. Cancelled and ended events no longer count toward your active event limit. To erase one person’s data, remove that guest from the guest list.
