Workspace and branding

Understand and edit workspace roles

Create roles that give each teammate only the permissions their work needs.

What you will achieve

Each teammate gets exactly the permissions their work needs.

Before you start

  • Roles are edited on the web Team page, by people whose role includes Manage members and roles. Team features are part of the Pro plan.
  • A role is a set of permissions you give to one or more people. The owner role is built in, includes all workspace access, and cannot be edited.

On the web

  1. 1

Open Settings. On the Account tab, open Workspace, choose Team, then scroll to Roles. Each role shows how many members use it.

  2. 2

Choose New role and enter a Role name using lowercase letters, numbers, and underscores, for example event_staff.

  3. 3

In Start from, choose Empty role to pick the permissions yourself, or choose an existing role to copy its permissions.

  4. 4

If you started from an empty role, tick the permissions it needs. They are grouped into Songs, Events, Members, Roles, Billing, and Branding. Then choose Save role.

  5. 5

In Members, pick the new role next to each person who needs it. A role only affects people once it is given to them. To change a role later, choose Edit, then Save role.

  6. 6

To delete a role, first move its members to another role, then choose Delete and confirm with Delete. Deleting a role also removes every pending invitation that uses it.

Expected result

The role appears in Roles with the right member count, and the people you chose have its permissions.

Important

Editing a role changes the permissions of everyone who has it, right away. Check the member count before you save.

Fix a problem

Problem: Roles doesn’t appear on the Team page.

What to doYour role doesn’t include Manage members and roles, or your plan doesn’t include team features. Ask a workspace owner.

Problem: The owner role can’t be edited or deleted.

What to doThis is intentional. Create a new role with fewer permissions instead.

Problem: A role name is refused.

What to doStart with a lowercase letter and use only lowercase letters, numbers, and underscores, up to 32 characters. Each name must be unique, and a workspace can have up to 32 roles.

Problem: Saving or deleting a role is refused.

What to doYou can only give permissions you have yourself. A role that still has members can’t be deleted, and someone must always be able to manage roles. Move members first, or ask a workspace owner.
