Add or import guests

Add guests one by one, paste a list, or import a spreadsheet, and choose whether Sonize emails them.

What you will achieve

Your guests are on the list with the right access, invited by email or not, as you choose.

Before you start

  • Choose each guest’s access: Vote + contribute, Vote only, or View only.
  • Pasted lists accept up to 100 rows, one guest per line: a name and an email separated by a comma, or just an email. A spreadsheet must be a UTF-8 CSV file of at most 2 MB, with a header row and up to 1,000 guest rows.

On the web

  1. 1

Open the event’s Guests tab and choose Add guests.

  2. 2

In People, search for someone by username, or enter a name and an email. You can also paste a list into Bulk invite (name, email).

  3. 3

Choose the Access level, then the button at the bottom. It says what will happen, for example Add 3 guests and send invitations, or Add 2 guests without emailing.

  4. 4

To import a spreadsheet, open Import, choose Choose a CSV file, then match your columns: Name, Email, Phone and Access level. The Access level column accepts contribute, vote, or view; an empty cell gives Vote + contribute.

  5. 5

Choose Preview this file. Nothing is sent yet. Check the guests that would be added, the duplicates and the rows to fix.

  6. 6

Choose Add guests without emailing, or Add guests and send invitations.

Expected result

Each guest appears once in the guest list with the right access. Guests you chose to invite get an email with their personal link. It says that you gave Sonize their address, what it is used for, how long it is kept and how to stop, with a link to the Privacy Policy.

Important

Guest lists contain personal data. Add only people you are inviting to this event, and only details you are allowed to share with Sonize. Sonize deletes guests’ contact details at the latest 90 days after the event. Do not share the file or the list.

Fix a problem

Problem: A row shows an invalid email.

What to doCorrect the address on that line. For a spreadsheet, Rows to fix gives the row number and the problem: fix your file, then preview it again.

Problem: The list is too long.

What to doSplit a pasted list into batches of 100 rows or fewer. In a spreadsheet, rows after the first 1,000 cannot be imported and are listed as rows to fix, so split the file.

Problem: A guest is on the waitlist.

What to doThe event is full: guests who are coming, and the extra guests they bring, fill the Guest capacity. Raise or clear the capacity in Settings; waitlisted guests then move up in order.

Problem: You cannot add more guests.

What to doThe event has reached your plan’s guest limit. People with the join link or QR code can still join. See plans to add more yourself.
